How can we help?

    1. You may search for a tour based on the location, and/or target species, and/or dates that a tour is available

    2. Once you find one that meets your needs, click Book Now on that tour’s page

    3. Select the dates that your want to go on to that tour

    4. Add any add-on items that you would like

    5. Enter the number of people in your group, which cannot exceed the Maximum Group Size provided by the guide

    6. Click Book Now

    7. Review your reservation details

    8. Click Confirm if you are ok with the reservation.  Otherwise, click Edit Reservation to go back and change

    9. Enter your billing address and credit card information and click Book Now

    10. Your booking request is sent to your guide.  They have 24 hours to accept your request. If your booking request is declined or expires after 24 hours of no response from the guide, it is automatically canceled.  Because your credit card is not charged for a booking request, the pre-authorization of the fund is released as soon as your booking request is declined or expires.

    2. Find the reservation that you want to cancel and click View Details of that reservation

    3. Click the Cancel Tour button of that reservation

    4. Review the cancellation details and confirm again to cancel the reservation

  • We take safety and customer satisfaction seriously.  If the upcoming weather may affect your safety or the birdwatching experience, please contact your guide to inquire whether he or she can rearrange the tour route or area to avoid the inclement weather. You may also cancel the reservation.  Cancellation policy of the tour would apply.

  • ​​​​​​​Whether you will get a full refund depends on when you cancel a reservation.  Please see the cancellation policy of your reservation to determine how much refund you will get if you cancel the reservation.  A cancellation fee of 3% of the total tour cost is deducted from the refund.

  • If your guide cancels your reservation, your will be fully refunded.  Please note that it may take 7 - 10 days for the credit to show on your credit card’s balance.

  • To view messages:

    1. After you have logged in to the site, click Messages on the top right corner of the page.

    2. By default, your most recent chat message from general inquiry is shown.  You can click on the name of the name of your guide on the left panel to view your chat messages with that guide. If you want to view messages related to a reservation, then click Reservation-Related on the left and click the guide’s and tour’s name of your reservation on the left to view the messages

     

    To send messages:

    1. To ask a guide questions about a tour that you haven’t booked yet,

      1. Go to that tour’s page 

      2. Click Contact Guide on the left in the Tour Guide section

      3. Write a message in the pop-up box and click Send.

    2. To send messages to guide about a reservation that you have made,

      1. After you have logged in to the site, click Tour(s) on the top right corner of the web site

      2. Find the reservation whose guide you want to contact

      3. Click “Contact Guide” on that reservation

      4. You can send messages to your guide about the reservation on this Message page

    1. If you pay and communicate outside of Birding Outfitters, you would not be protected by our Terms of Service, cancellation and refund policies.  It also puts you at a greater risk of fraud and other security issues.  

    2. Never pay outside of Birding Outfitters.  If someone asks you to pay outside of our payment system, please report it to report@birdingoutfitters.com.

    3. Click “Contact Guide” on that reservation

    4. You can send messages to your guide about the reservation on this Message page

  • You can check the status of your reservation by going to your Trips page.

    1. Click Trip(s) on the top right corner of the page.

    2. The status of each of your reservations is shown on this page.

    1. Click your profile picture
    2. Click Profile on the dropdown menu

    3. On your Profile page, select the payout method that you want

    4. After you are done selecting, click Save to save your new payout method

  • The payout will be sent within 1-2 business days after the completion of the tour.

    You can choose from either Stripe or Payoneer

    1. Stripe requires a U.S. bank account in order to sign up.  It can transfer payouts to your bank account via ACH.

    2. Payoneer allows transferring money to non-U.S bank accounts but transfer and currency exchange fees may apply

    1. If the tour is completed successfully,
      1. The payout amount is the total reservationo cost minus the Birding Outfitters service fee.  The service fee is total reservation cost multiplied by your service fee percentage.


    2. If the tour is canceled by the client,

      1. The part of the reservation cost that is not refunded to the client, minus the service fee, will be paid out to you within 7-10 business days of the cancellation.

      2. For example, if a booking that costs $200 is canceled, and 50% of the cost is refunded back to your client, and you service fee percentage is 10%, then $200 X 50% X (100% - 10%) = $90 will be your payout.

  • You need to confirm or decline the request within 24 hours.  Otherwise, the request is automatically canceled.

    To confirm or decline the request

    1. Click  Trip(s) on the top right corner after you have logged in.

    2. Click View Details button of that reservation

    3. Review the reservation details

    4. Click Confirm Request or Decline Request to confirm or decline the booking request respectively

  • ​​​​​​​We take safety and customer satisfaction seriously.  If the upcoming weather may affect the safety or the birdwatching experience of your clients, you may take your clients in another area to continue birding with your clients’ consent.  You may also cancel the reservation.

  • If your client cancels their reservation, we will notify you via email and immediately unblock the dates of the canceled reservation on your calendar so those dates are available for booking again.

    Payouts

    1. If  the reservation is not fully refundable to your client, the part of the reservation cost that is not refunded to the client, minus the service fee, will be paid out to you within 7-10 business days of the cancellation.

    2. For example, if a booking that costs $200 is canceled, and 50% of the cost is refunded back to your client, and you service fee percentage is 10%, then $200 X 50% X (100% - 10%) = $90 will be your payout.

  • If you have turned off the “Confirm Booking Automatically” option, you will receive an email notification whenever any bookings that are made on your tours.  You have 24 hours to confirm the booking before it is canceled automatically and we will unblock the dates of that unconfirmed reservation.

    To confirm a booking request:

    1. After you have logged into your account, click Trip(s) on the top right corner of the website.

    2. Click that “View Details” button of the reservation that you want to confirm.

    3. After you have reviewed the reservation details, click the Confirm Reservation button.

  • We encourage adding owling trip or any night birding trips as an extension of a day tour, instead of a standalone tour, so that you can meet your clients and get acquainted with them ahead of time.  You may do so by adding owling trip as an add-on on your tours.

  • We are currently working on a new feature that will allow guides to block off some of the dates on the calendar from booking.  We have a couple suggestions for workaround:

    1. In the meantime, you may want to turn off confirming booking request automatically, so that you can decline booking requests on days that you are unavailable and suggest the clients to book the tours on the days that you are available.

      1. Click your profile picture on the top right corner

      2. Click Edit Profile

      3. Turn off Confirm Booking Automatically (the toggle should be gray if you have turned it off)

      4. Click Save Changes to save your changes.

      5. you may want to use the Notes section here to specify which additional days you are unavailable

    2. You can also use the Notes section on your tour listings to specify which days you are unavailable in addition to the unavailable days on your calendar on Birding Outfitters.

  • No, reservations that are already made will not be affected

    1. Click Add Tour for a new tour or Click Edit Tour for an existing tour

    2. Check the checkbox next to Extra Person Cost

    3. Once it’s checked, 2 fields with Cost per Person and After How Many People? will pop up

    4. Fill out those fields, and click Save

    5. Check your tour listing.  It should now show the fee for extra person for your tour

    6. From this point on, when clients book this tour, extra fees will be added to the total reservation cost according to the number of people in the clients’ groups.

     

    1. Click Add Tour for a new tour or Click Edit Tour for an existing tour
    2. Scroll down to Add-ons section

    3. Click Add Add-ons if you have already added an add-on

    4. Fill in the add-on description and cost

    5. Choose the type of add-on: Fixed fee or By Quantity

      1. Fixed fee - add-ons that are usually one-time only, such as fees for picking up or dropping off at the airport

      2. By Quantity - add-ons that clients can order by quantity.  The cost is for each add-on. Examples of such add-on are lunch, single occupancy, etc.

    6. After you are done, click Save Changes in the bottom of the page

  • Deleting a tour is an irreversible process.  All reviews left under that tour will be deleted along with the tour.  If the tour has upcoming reservations, deleting the tour will not affect the reservations, but your clients will not be able to go and view the tour’s page, and after they complete the tour, they will not be able to leave reviews for the deleted tour either.

    To delete a tour listing:

    1. Click on your profile picture on the top right corner on the website

    2. Click Add/Edit Tour button on the dropdown menu

    3. Click Delete on the tour that you want to delete

    4. Click Yes to confirm

  • To unhide a tour listing:

    1. Click on your profile picture on the top right corner on the website

    2. Click Add/Edit Tour button on the dropdown menu

    3. Click Unhide on the tour that you want to unhide

  • If you want one of your tours to not show up in search results or your profile page but do not want to delete it, you can “hide” the tour.  If the tour has upcoming reservations, hiding the tour will not affect the reservation, but your clients will not be able to go and view the tour’s page.  But you can still edit a hidden tour.

    To hide a tour:

    1. Click on your profile picture on the top right corner on the website

    2. Click Add/Edit Tour button on the dropdown menu

    3. Click Hide on the tour that you want to hide

    When you want your hidden tour to be viewable again, simply click the Unhide button on that tour

  • To edit a tour:

    1. Click on your profile picture on the top right corner on the website

    2. Click Add/Edit Tour button on the dropdown menu

    3. Click Edit on the tour that you want to edit

  • There is not a specific way to charge on a per-person basis.  But you can set the tour cost to what you would charge for one person, and then set the Extra Cost Per Person to be also the same as the per person cost after 1 person.

    For example, if you want to charge $100 per person, you set the tour cost to $100, Extra Cost per Person to $100 and After How Many to  1.

  • We do not allow setting a minimum number of clients.  We suggest you to set your tour’s cost to the total cost of what you would charge for that minimum number of clients.  

    1. Tour Title
      1. The given tour title is what will be shown in search results.

    2. Tour Location

      1.  Location search for tours on the main page is based on the given tour location.

    3. Tour Photo

      1. You may upload photos relevant to the tour, which could be the birds and scenery that may be seen during this tour.  The first photo you select and uploaded to the site will be the one shown in search result

    4. Tour Type

      1. Tour type can be Half-Day, Full Day or Multiple Days

      2. If Multiple Days is selected, you also need to select the number of days your tour lasts 

    5. Price

      1. The base cost of the tour.  Currently, only US dollar is supported.

    6. Available Start Date and End Date

      1. These dates indicates when your tour is available. If a user inputs start and end dates in the tour search on the main page, the available start and end dates AND the guide is available on those searched dates in order for the tour to appear in the search result

      2. When the current date has passed the Available End Date of a tour, even if user does not enter any date in the search, the tour will not show up in the search result (You may update the Available Start and End Dates to make the tour actively searchable again.)

    7. Extra Person Cost

      1. If this option is selected, Cost per person and After How Many People boxes will be shown.  It allows you to charge extra cost per person after a given number of people in your group

      2. For example, if the cost per person is $50 after 2 people and a group of 5 people book your tour, $50 X 3 = $150 will be added to the tour cost.

    8. Add-on feature

      1. There are 2 types of add-on feature:

        1. Fixed fee - add-ons that are usually one-time only, such as fees for picking up or dropping off at the airport

        2. By Quantity - add-ons that clients can order by quantity.  The cost is for each add-on. Examples of such add-on are lunch, single occupancy, etc.

    9. Description

      1. A detailed description of your tour, such as where you take your clients and how long the tour is.  If this is a multi-day tour, please include an itinerary here.

    10. Target Species

      1. Species listed in this list are searchable by Search By Species on the main page.  When a user looks for tours whose target species is also listed on your tour, your tour will show up on the search result page if it also meets other search criteria

      2. Each given species is shown as link to Google Image search on your tour page.

      3. We don’t recommend listing all the possible birds that your clients may find here, but, instead, focus on those that are likely to be found and what visitors to this area may want to see or hear.

    11. Features

      1. Highlights of your tour. Please include information such as:

        1. The number of species that can be seen on this tour

        2. How strenuous the tour is, such is the distance that client will walk, whether uphill hiking is involved, or mostly just birding by car or by boat

        3. Habitats of the places you will go, such as wetland, forest, etc. to give your clients some ideas of the kind of birds they will see

        4.  
    12. Maximum Group Size

      1. Clients cannot book a tour with a number of people exceeding your specified maximum group size

    13. Notes

      1. You may include information such as 

        1. Bring hats, sunscreen and/or bug spray

        2. Any attire requirements, such as closed-toe shoes are required

        3. Guide will bring a spotting scope

        4. Visa information for overseas travellers

        5. Because Birding Outfitters currently doesn’t have the option for guides to block off part of the calendar from booking yet besides reservations made on this site, you may want to use the Notes section here to specify which additional days you are unavailable

    14. Cancellation Policy

      1. You can choose one of the available cancellation policies.  If you later changed the cancellation policy, all the reservations made of this tour prior to your change will still follow the previously chosen cancellation policy.  Only reservations made after change will be affected. 

  • To create a tour:

    1. Click on your profile picture on the top right corner on the website

    2. Click Add/Edit Tour button on the dropdown menu

    3. Click Add Tour near the top right corner of the page

    4. Fill out the information about your tour
    5. Click Save
